Purpose of the Role:
The Post-Event Evaluation – Gather Feedback role is integral to assessing the effectiveness and success of events hosted by SayPro. This position involves collecting and analyzing feedback from various stakeholders—participants, vendors, and team members—after each event to ensure that insights are gathered to improve future event planning, execution, and overall experience. By gathering comprehensive feedback, this role helps the team understand the strengths and areas for improvement in the event processes.
Key Responsibilities:
- Create and Distribute Feedback Surveys:
- Design Surveys: Work closely with the Event Planning and Coordination team to design and develop feedback surveys tailored to different stakeholders (participants, vendors, internal teams). Ensure the surveys capture valuable insights on all aspects of the event, including logistics, content, delivery, engagement, and overall satisfaction.
- Distribute Surveys: Send surveys to all relevant parties post-event. This includes sending follow-up emails to event attendees, vendors, and internal team members with clear instructions on how to submit feedback and a set deadline for completion.
- Incorporate Multiple Feedback Channels: In addition to surveys, provide alternative ways for participants to give feedback, such as one-on-one interviews or open feedback sessions, to accommodate different preferences.
- Monitor Response Rates:
- Track Feedback Participation: Ensure a high response rate for all surveys by actively monitoring participation and sending reminder communications to those who have not yet provided feedback.
- Encourage Honest and Constructive Feedback: Communicate the importance of honest and constructive feedback to all participants, ensuring that they understand the value of their input in improving future events.
- Analyze Collected Data:
- Review and Interpret Data: Once the feedback has been collected, analyze the responses from surveys, interviews, and other feedback sources. Categorize the responses to identify common themes, trends, and specific areas of success or concern.
- Identify Key Performance Indicators (KPIs): Compare feedback against established KPIs (such as attendee satisfaction, vendor performance, logistical efficiency, and engagement metrics) to evaluate the overall success of the event.
- Generate Reports: Prepare detailed reports summarizing feedback data, including quantitative analysis (ratings, scores, etc.) and qualitative comments (open-ended responses). Highlight key findings and insights for review by the event team and leadership.
- Engage with Vendors and External Partners:
- Vendor Feedback Collection: Gather feedback from vendors, suppliers, and external partners involved in the event to assess their experience, the clarity of communication, and the efficiency of coordination. Focus on identifying areas of improvement in the vendor relationship and event execution.
- Evaluate Vendor Performance: Assess the effectiveness of vendors based on their performance during the event, and gather feedback on their experiences to guide future vendor selection and negotiations.
- Evaluate Event Content and Engagement:
- Assess Content Delivery: Gather feedback from participants about the quality, relevance, and effectiveness of the event content (keynotes, workshops, panels, etc.). Identify which sessions were most engaging and which areas could benefit from improvement.
- Analyze Attendee Engagement: Collect insights on how attendees engaged with the content (e.g., session attendance, Q&A participation, networking activities) and what factors may have influenced their overall experience. This helps identify areas for increasing engagement in future events.
- Collaborate with Internal Teams for Evaluation:
- Team Member Feedback: Collect feedback from internal team members who were involved in event planning, execution, and support. Understand their perspectives on the event’s workflow, challenges faced, and successes achieved to gain insights into internal processes and team performance.
- Debrief with Event Team: Lead or participate in post-event debriefing meetings with the internal team to discuss event execution and gather feedback. Identify team-driven strengths and areas that could be streamlined or improved for future events.
- Create Actionable Recommendations:
- Identify Opportunities for Improvement: Based on feedback gathered from all stakeholders, work with the event planning team to develop actionable recommendations to address areas for improvement. Whether related to logistics, content, engagement, or vendor management, use feedback to guide future event decisions.
- Set Objectives for Future Events: Collaborate with the event planning team to set objectives and goals for future events based on the insights derived from feedback analysis. This could include improving attendee engagement, optimizing event logistics, or refining content delivery.

- Track Event Impact:
- Measure Impact on Stakeholder Relationships: Collect feedback to assess the impact of the event on stakeholder relationships, including participants, vendors, and partners. This will help evaluate how well the event achieved its goals in terms of relationship-building, brand awareness, and other strategic objectives.
