Purpose of the Role:
The purpose of this role is to manage the logistical aspects of venue selection and ensure that the chosen venues (either physical or virtual) meet the specific needs of SayPro’s events. This involves researching and securing appropriate venues for in-person events, considering size, accessibility, technical requirements, and other key factors. For virtual events, this role ensures the selection of the best platform to deliver an engaging and seamless experience for participants. The aim is to provide an optimal environment for event activities, enhance the participant experience, and ensure technical compatibility with the event requirements.
Key Responsibilities:
- Research Suitable Venues for In-Person Events:
- Venue Research: Conduct thorough research to identify suitable venues that meet the specific needs of each event. This includes considering the event’s size, type, and audience, as well as location, accessibility, facilities, and technical capabilities.
- Consider Size and Layout: Ensure that the venue has enough capacity to accommodate the expected number of attendees, with enough space for different event activities, such as breakout sessions, exhibitions, and networking spaces. Evaluate the venue’s layout to ensure it supports the flow of the event.
- Check Accessibility: Ensure that the venue is accessible for all attendees, including those with disabilities. This includes evaluating entrances, transportation options, parking availability, and ADA-compliant facilities.
- Evaluate Amenities and Facilities: Check the venue’s availability of necessary amenities, including restrooms, catering facilities, security, emergency services, and accessibility for loading and unloading event materials.
- Assess Technical Capabilities: Ensure the venue can support the technical requirements of the event, including audiovisual equipment, internet connectivity, lighting, sound systems, and power supply.
